Task List

This page will explain how to use the Task List feature in TRAKnet.

Accessing the Task List

The Task list is a feature in TRAKnet that allows users to send messages or reminders among themselves. To access the Task list, click on the Task List tab on the left-hand side of TRAKnet. The task list can also be quickly accessed from an encounter note through the Tasks link, located under the Patient Data category in Quick Links.

The Task List can be refreshed with the refresh button at the top of the Task List Groups panel.

The Task List is split into eight different groups, explained below:

  • My Tasks — This group will display all pending tasks assigned to the current user.
  • Sent Tasks — This group will display all tasks sent by the current user.
  • Completed Tasks — This group will display all completed tasks assigned to the current user.
  • All Tasks — This group will display all tasks assigned to all users.
  • Unread Tasks — This group will display all unread tasks assigned to the current user.
  • Deleted Tasks — This group will display all deleted tasks assigned to the current user.
  • By Patient — This group will display all tasks related to a certain patient assigned to the current user.
  • By Task Type — This group will display all tasks of a certain task type assigned to the current user.

Each group can be filtered by date and task type.

Task Actions

There are several actions that can be performed with tasks, explained below:

  • New — This button allows you to create a new task.
  • Edit — This button will allow you to modify the selected task. Users that have created a task can modify anything in a task except for the assignee's. Users that have been assigned to a task can only modify the Status of a task. Users that are neither an assignee or the creator cannot modify a task.
  • Delete — This button will allow you to delete the selected task, at which point they will only appear in the Deleted Tasks group.
  • Print — This button will allow you to print the selected task.
  • Manage Task Types — This button will allow you to add, modify or delete Task Types.

Managing Task Types

The default task types that can be set to a task are PhoneMessage and Reminder. Task Types can be created, edited or deleted by clicking the Manage Task Types button as seen on any of the groups.

To create a new Task Type, click the Add button. After naming your task type, you can then create an optional title and body of your task which will populate when that task type is chosen for a new task. Otherwise, those fields can be left blank and can be filled out whenever the task is created.

All Tasks

The All Tasks group displays all tasks assigned to all users (except for deleted tasks, which can be viewed from the Deleted Tasks group). Permission to view this group can be modified under User Permissions. The All Tasks group also contains additional filters, explained below:

  • Due Today — This filter allows you to see task with a due date of today.
  • Due Tomorrow — This filter allows you to see tasks with a due date of tomorrow.
  • Follow-Up Today — This filter allows you see tasks with a follow-up date of today.
  • Follow-Up Tomorrow — This filter allows you to see tasks with a follow-up date of tomorrow.

Migrating Previous Tasks

A new method of creating and managing tasks was implemented on October 1st, 2016. Any tasks created in TRAKnet before this date must be migrated to this new format before they can be seen under their appropriate group. To migrate tasks, go to the All Tasks group and click the Migrate Previous Tasks button. This process may take several minutes, and the Migrating Previous Tasks button will disappear once the process has completed and the new tasks have been loaded. Please note that this should only be performed once per practice database; If this process is performed simultaneously between two or more users, migrated tasks may be duplicated.
