Accounts Receivable Report
The Accounts Receivable report is a standard billing report found under the Billing Dashboard, in Reports. It shows any outstanding charges in the system. It will not include any charges that are paid off. This is the AR report. It has a summary view and a detailed view.
Views:
- Summary – will list each patient, their account number, and the monies outstanding broken down by date range. Charges that are patient responsible will be listed in the age column based on the date of responsibility. When filtering to include charges that are not patient responsible or both, the report will be aged by the date of service. On the right, you will see the patient’s overall balance and at the bottom you will find totals for all patients.
- Detailed – will list each patient and their individual outstanding charges. You will be able to see the date that charge went patient responsible, the service date of that charge, the note date where that charge was added, the code of that charge, the total billed, the total amount of all payments and adjustments that are applied onto that charge and the remaining balance. Adjustments will show details when running the Activity - Detailed report. Adjustments show the patient and the treatment code of which it was applied (or unapplied).
Filters:
- Days Past – this will filter the report to only show charges that have been outstanding for as long or longer than the number of days specified. If the Charge Status filter is set to “Patient Responsible Only”, then this filter will apply to the responsibility date. If the Charge Status filter is set to something else, this filter will apply to the date of service.
- Charge Status – there are three options: “Patient Responsible”, “Not Patient Responsible” and “Show All Charges”. If set to “Patient Responsible”, then only those charges that have been marked “Patient Responsible” will appear in this report. If set to “Not Patient Responsible”, then any charge that is not marked “Patient Responsible” will show on this report. This will show both charges that have been sent to insurance as well as charges that have not been sent. If set to “Show All Charges”, all charges in the system that have a remaining balance (regardless of status) will show.
- Show Patients in Collections – if set to “True”, patients who have been marked as being in collections will appear in this report. If set to “False,” they will not appear.
- Show Unapplied Payments – if “True” is selected, an additional section will appear in the report for each patient, showing any payments on their account that have not been applied to a related charge. This will factor into the total balance on the report for that patient.
- Locations – you can choose only charges that were rendered at the selected location. This is based on the location set for the selected Encounter on which the charge is located.
- Provider – you can choose only charges that were rendered by the specified provider(s). This is based on the provider set for the Encounter on which the charge is located.
- Minimum Balance – enter an amount to hide patients that are below a certain balance.
- Maximum Balance – enter an amount to hide patients that are above a certain balance.
